We’ve all been there. You’ve got an event coming up, the date is quickly approaching, and panic starts to set in. You’re worried about a few key details slipping through the cracks and you won’t have enough time to get everything perfect. First thing, take a deep breath. I am here to tell you that last-minute planning doesn’t have to be that stressful and any small details that might not get finished will not ruin your event. Most of the time, your guests will have no idea you were racing against the clock!
With a little organization and a positive mindset, you can pull of an amazing event without pulling your hair out. Let me go over some simple steps to help you get organized, stay calm, and handle any last-minute planning like a pro!
1. Prioritize What Really Matters
When you’re short on time, it’s important to focus on what’s essential. Ask yourself: “What are the must-haves that will truly make this event a success?”. Is it the food, the music, or the atmosphere? Prioritize the big, key elements first and get those sorted out. The small, detailed touches are great, but if you don’t get them done, it will have no effect on your event from being fantastic. Guests are there for the overall experience, not the tiny details they may not even notice!

2. Stay Calm and Make a Quick Plan
Before you dive in, sit down for just 10 minutes and write out a quick plan. List everything out that still needs to be done and break it down into categories (ex. Décor, food, guest list, etc.). A quick checklist will help keep you focused and ensure that you don’t forget any important details.
The trick of all of this is to not overwhelm yourself. Keep the list short and manageable. If some items don’t make the list that you originally intended on having, it’s probably because they are not that important. And guess what? That’s totally okay!

3. Pack Like a Pro: Bins and Labels Are Your Friends
When it comes to event setup, being prepared before you even arrive to the venue is KEY! One of the best tips I can give you is to pack with thought. Here’s how to do it:
- Group your items by area: Pack all the decorations, centerpieces, dessert table supplies, photo backdrop items, etc., in separate bins or boxes labeled for that specific area. This way when you arrive at the venue, you can simply place each bin/box in its designated area. It will keep you organized, ensure that you have everything you need for that specific area, and save you time trying to sort through everything last-minute.
- Label everything: Not only do the bins need labeled, but I also recommend labeling smaller items inside them. A quick sticky note or tag can be a lifesaver when you’re in a hurry to set up. It’s an extra step that helps when you have helpers unpacking your things and will ensure they know what it is for.
Take a picture of your vision: Another great trick—if you have a specific way you want something to look, take a picture of it beforehand! Whether it’s how you want the dessert table setup or the photo background arranged, having a visual reference is super helpful when you have family or friends assisting with setup. They can follow the picture while you focus on other tasks making set up that much easier and quicker.
4. Delegate and Accept Help
If you have family and friends around, use them! Don’t be afraid to delegate tasks to people who want to help. Whether it’s someone picking up food, setting tables, or organizing the welcome area, sharing the workload will make things go much more smoothly.
But here’s the key: give them a specific task! “Set up the dessert table like the picture in the bin/box” is a lot clearer than “Just decorate however you want.” The more precise you are, the less you’ll have to worry about things not going as planned.

5. Prep As Much as You Can Ahead of Time
Even if you’re pressed for time, there are some things you can knock out the day before the event, and this will make a huge difference. For example:
- Create a schedule for the day of the event so you can keep track of setup time, vendor arrivals (if you have any), and key moments like speeches or toasts.
- Print out your seating chart or table numbers. If you are having an event that is almost at capacity of the space, I always recommend a seating chart if the event is not an “open house” type of event. This will ensure everyone will have a place to sit.
- Finalize any playlists or music you want for the event. If you have a DJ, make sure they have your song requests. If you are just using Bluetooth speakers like we have here at The Hidden Abbey, make sure your playlist is set with all the songs you want to listen to for the event.
- Pack your car the night before so you’re not scrambling to load everything on the day of the event.
By taking care of these few tasks in advance, you’ll feel so much more in control and relaxed when it’s go-time!

6. Embrace the Imperfections
Here’s something we all need to hear sometimes: No event is ever perfect! And that is perfectly okay. Those last-minute details that didn’t get done? Your guests won’t notice. The centerpiece flowers didn’t come in the right shade of pink? No biggie! Your guests are there to celebrate, have fun, and enjoy the moment—just like you should be. The more you embrace the day as it comes, the more you’ll enjoy yourself.

7. Remember: Most Guests Won’t Know You Were Last-Minute Planning
The best part about last-minute planning is your guests won’t know! As long as they’re enjoying great food, great company, and the overall vibe of the event, they’ll never guess you were rushing around trying to pull it all together. So don’t stress out about those tiny details. In the end, what matters most is that everyone had a great time, and you feel proud of what you accomplished—even if it got a little hectic at times.
Conclusion: You’ve Got This!
Handling last-minute event planning like a pro is all about staying calm, prioritizing what’s important, and getting organized. Using these simple strategies—like labeling bins/boxes, taking reference pictures, and prepping ahead of time—you’ll feel in control and confident that your event will be a hit. And if a few small details end up slipping through the cracks it doesn’t matter. The most important thing that is everyone, including you, enjoys the celebration.
Remember, you’ve got this, and your event will be amazing—no matter how last-minute the planning might feel. So, take a deep breath, follow these tips, and get ready to enjoy a day with your family and friends!
